Role 3

Documentation Supervisor

Replaces: Docs team reading, typing and cross-checking shipping paperwork

Human checkpoint: Docs manager releases the final document set before submission.

Responsibilities

  • Extracts data from commercial invoices, packing lists, B/L instructions and certificates
  • Cross-checks consignee, HS code, weights, volumes and incoterms against the shipment file
  • Generates HBL, manifest and arrival notice drafts and flags mismatches

Role 4

In-Transit Manager

Replaces: Customer service staff refreshing tracking pages

Human checkpoint: Account manager approves customer-facing commitments on new dates.

Responsibilities

  • Consolidates carrier, terminal, AIS and telematics events into one shipment timeline
  • Recalculates predictive ETA and detects deviation against plan
  • Notifies the affected parties with the reason, impact and recommended action

Measured on: ETA accuracy and time from deviation to customer notification.

Role 5

Exception Resolution Officer

Replaces: Duty planner working through an exception queue

Human checkpoint: Operations manager approves any action with cost or service impact.

Responsibilities

  • Classifies the exception — rollover, customs hold, damage, delay, missing document
  • Assembles evidence, applies the SOP for that exception class and proposes the fix
  • Executes the approved fix in TMS, WMS and carrier systems, then closes the loop

Role 6

Customs & Compliance Advisor

Replaces: Compliance officer pre-checking declarations manually

Human checkpoint: Licensed broker or compliance officer signs the declaration.

Responsibilities

  • Validates HS classification, licence requirements and party screening before filing
  • Prepares declaration data for the broker or customs platform
  • Records the evidence trail for each compliance decision

Measured on: Pre-filing rejection rate and hold frequency.

Role 7

Freight Audit & Settlement Officer

Replaces: Finance analyst matching invoices to rates line by line

Human checkpoint: Finance approves disputes and write-offs above threshold.

Responsibilities

  • Matches carrier invoices against the contracted rate, the booking and actual events
  • Raises disputes with evidence for surcharges, detention and demurrage claims
  • Posts approved charges to the accounting system for settlement
