Shanghai Pepsi-Cola Signs Deep Insights: Making Every Handoff Traceable, from Plant to Proof of Delivery

Deep Insights and the Shanghai Pepsi-Cola project team have held the kickoff meeting for a warehouse and transport management and electronic proof-of-delivery (ePOD) system. Together they will connect transport execution and electronic sign-off into one process, from dispatch to delivery.

Founded in 1989, Shanghai Pepsi-Cola is one of PepsiCo's key bottlers in China. It runs city deliveries across Shanghai and southern Jiangsu, as well as short-haul linehaul and inter-provincial transport.

One shipment, many handoffs

A shipment of drinks changes hands several times between the warehouse and the customer. The warehouse loads the truck. The driver formally picks up the goods. The load may pass between carriers on the way. Finally, the customer signs for it, the last handoff.

So the project started from one shared principle:

> Whenever a handoff happens, it is checked and recorded at that moment.

Before a truck leaves the plant, the system confirms what is on board, whether the quantity matches and whether the truck is the right one. When the driver collects the goods, their identity and pickup details are recorded against the shipment. At a mid-route handoff, both the handing-over and receiving parties confirm the condition of the goods. At the customer site, the system checks who is receiving, whether they are authorized to sign, and whether the quantity received differs from what was shipped.

These checks are built into five key handoffs: loading, pickup, transfer, delivery and sign-off. Each handoff also records signatures, times, locations, photos and the related business records.

Records captured as work happens

This system does not add a transport record after the delivery is done. It follows the goods as the work happens. Once an order enters transport, dispatch, loading, plant exit and in-transit status all move forward on the same shipment record. Location and exceptions travel with the truck. Customer sign-off is one more step in the same chain, not a separate process.

From 15–30 days to next day

A paper delivery receipt used to take 15–30 days to come back from the customer. The project brings electronic sign-off directly to the customer site. For any paper documents that remain, OCR and multimodal recognition extract the key information, which is then checked against the matching shipment and filed. The goal is to bring receipt turnaround down to the next day.

What matters even more is that the receipt no longer has to rebuild the whole story of what happened in transit. Every earlier handoff was already recorded. When goods are short, damaged or refused, the team can go straight to the step where it happened. Supply chain managers can see more than whether a shipment was signed for. They can see where it is now, who holds it, and which step still needs action.

Built into the work itself

This is the product idea Deep Insights cares most about in this project:

> The system does not keep the books after the fact. It works inside each step of the job. Check at loading, confirm at handoff, record at sign-off.

As the goods move forward, their status and handoff records move with them. That is what Shanghai Pepsi-Cola and Deep Insights are building together: a traceable record of every handoff.
